Position exists to function as part of the Office of Professional Learning and Federal Programs. This position supports the Equitable Services obligations required of federal funding for applicable grants.  Use required technology to support monitoring records related to applicable grants. Attends Equitable services training hosted at local and  state level, in person meetings,  and engage in meaningful consultations with stakeholders. Must have reliable transportation.

 

This position is subject to Federal Grant Funding.

 

This job reports to the Executive Director of Professional Learning and Federal Programs.

 

Qualifications

 

Education:

  • High School Diploma required
  • Preferred:  Associates or Bachelor’s degree in related areas  

Certificates & Licenses:  Not Required

 

Experience:  Job-related experience  working with  Title I and Title II and/or other federal grants. Extensive background using excel and/or google spreadsheets. Excellent Customer Service Skills. 

 

Key Competencies:

  • Experience in the administration and/or closeout of grants and/or grant awards
  • Experience with equitable services requirements of federal grants. 
  • Knowledge of the laws, regulations, rules, policies, procedures, and methods governing the administration of division-based grants – Title I, Part A and Title II
  • Ability to track funding using a variety of methods – excel, etc.
  • Experience using data warehouse platforms to store and retrieve records. Example Title I Crate, Google Drive, Omega
  • Create agendas and record minutes at federal programs meetings and equitable services consultations.
  • Possess excellent computer skills involving Microsoft Word, Excel, and managing the purchasing process and budget accounts.
  • Understands grant goals, objectives, and program requirements to establish effective and comprehensive procedures to ensure meeting compliance of those requirements.

Essential Functions

  • Performs duties associated with preparing grant reimbursement and submittals.
  • Ensure compliance with Equitable Services for federally funded initiatives.
  • Utilize OMEGA and MUNIS according to local and state requirements.
  • Receive spending requests of schools participating in equitable services. Process equitable services requests include compliance with purchase orders, requisitions, and travel requests. 
  • Follow all procurement procedures and processes.
  • Monitor expenditures and spending requirements and compliance with federal guidelines for schools receiving equitable services.
  • Available to attend in person meetings, conferences, training,  and onsite consultations.
  • Creates databases and performs data entry and records management; maintains accurate files, records and documentation.
  • Deliver products and resources onsite to schools receiving equitable services
  • Track and monitor grants cooperative agreements, Memorandums of Understanding, Memorandums of Agreements, contracts or other related instruments;
  • Designing, developing, implementing, and interpreting grants/assistance management policies, procedures, and practices related to equitable services;
  • Overseeing, reviewing, analyzing, and evaluating central office and school based budgets for schools receiving services under equitable services. 
  • Ensuring compliance with all state and federal requirements
  • Manage the folders for the electronic platform that is used to maintain federal grants documents. Including collecting and submitting documents to the correct folder for both schools and central office 19
  • Update Title I Crate platform based on the annual federal monitoring tool
  • Developing and distributing financial reports to CO and schools participating in equitable services 
  • Develops reporting systems to provide spenddown reminders as needed for schools participating in  equitable services
  • Coordinate with the Finance and Budget Departments to ensure accurate allocation of grant related funds to schools receiving equitable services
  • Conduct onsite inventory checks  of Title I purchases for schools participating in equitable services
